Workforce Planning & Operations Coordinator

24/7 Production Environment

Location: Dublin, St. Margaret’s
Contract: Full-time, Permanent
Salary: €33,000 – €37,000 per annum (DOE)
Hours: 5 days out of 7, between 8:00am and 8:00pm (including weekends)

Flexistaff Recruitment is hiring on behalf of a large, high-volume production operation for an experienced Workforce Planning & Operations Coordinator to join a growing and fast-paced team.

This is a key operational role focused on labour planning, scheduling, reporting, and coordination within a 24/7 production environment. You will work closely with Operations to ensure workforce requirements are met efficiently and in full compliance with Working Time legislation.

Important: This site is not serviced by public transport. Candidates must have their own transport and a full driving licence.


The Role

This position is ideal for someone who is highly organised, analytical, and comfortable working across multiple departments in a dynamic operational setting. You will play a central role in ensuring labour efficiency, compliance, and accurate workforce reporting.


Key Responsibilities

  • Plan and analyse labour requirements (mid- to long-term)

  • Schedule skills and resources across multiple business units

  • Ensure compliance with Working Time Directive legislation

  • Produce labour reports, KPIs, and operational insights

  • Prepare weekly payroll reports including hours worked, skills mix, and absences (agency and direct staff)

  • Maintain accurate and up-to-date employee records

  • Support audits, compliance reviews, and monthly audit activities

  • Assist with business systems support, testing, troubleshooting, and process mapping

  • Coordinate transport logistics and accommodation requirements

  • Liaise with recruitment partners regarding staffing levels

  • Support change management initiatives

  • Carry out any other duties relevant to the role


Essential Skills & Experience

  • Fluent written and spoken English

  • Advanced MS Excel skills (essential)

  • Strong organisational skills with excellent attention to detail

  • Excellent communication and interpersonal skills

  • Ability to work independently and proactively problem-solve

  • Confident PC and email user

  • Flexible approach to working hours
    (Production operates 24/7; role is 5 days over 7)

  • Strong team player

  • Full driving licence and own transport


Desirable

  • At least 1 year’s experience in a workforce planning, scheduling, or coordination role
