Freight Operations Executive
We are seeking an experienced and detail-focused Freight Operations Executive to join a busy Air and Sea Freight team based in Cork.
This is an excellent opportunity for a confident and organised Freight Operations Executive who enjoys working in a fast-paced logistics environment and can manage import and export shipments efficiently from start to finish.
The successful Freight Operations Executive will play a key role in coordinating sea freight and air freight consignments, maintaining service levels, ensuring compliance, and supporting the profitable movement of customer shipments.
Key Responsibilities
- Receive and process customer bookings accurately and efficiently
- Check rates and costs at booking stage to ensure accuracy
- Monitor bookings through shipping line and airline tracking systems
- Issue Air Waybills, Master Bills of Lading and House Bills of Lading
- Manage import and export FCL, LCL and air freight consignments moving in and out of Ireland
- Create shipments in CargoWise upon receipt of pre-alert documentation
- Coordinate shipment documents and hand over to the internal customs brokerage team for import clearance
- Send customs entries to customers to ensure duty and VAT payments are received before cargo arrival where required
- Check Bill of Lading status, including original, express and Air Waybill requirements
- Review Incoterms to ensure correct handling procedures are followed
- Arrange hauliers for collection and delivery to final destination
- Organise transport for sea freight collections as required
- Send booking confirmations to customers with ETD and ETA details
- Arrange customs export entries through the internal brokerage team
- Scan and send pre-alert documentation to partners and agents for import and export departures where required
- Finalise invoicing and costs with the billing team
- Resolve account queries quickly by phone and email
- Respond to customer queries and communications within agreed timeframes
- Maintain strong service standards and effective communication with internal and external stakeholders
Requirements
- Minimum 2 years‘ experience in sea freight and import/export operations
- Good working knowledge of Microsoft Excel and Word
- Strong customer service experience in a fast-paced environment
- Customs clearance experience would be an advantage
- Ability to work towards targets and operational objectives
- Strong interpersonal skills with the ability to work independently
- Able to work to strict deadlines with a high level of accuracy
- Excellent attention to detail
