Job Title: Customs Office Supervisor
Reports to: Customs Clearance Manager and/or an approved company designate
Location: Ballyboughal (with travel to other sites as required)
Hours: 10:00 – 19:00, Monday to Friday (flexibility required to meet business needs)


Role Overview

We are seeking an experienced Customs Office Supervisor to join our large and growing customs clearance department. You will play a key role in supporting the team to process over 100,000 declarations annually, combining your customs expertise with strong leadership skills to ensure efficiency, compliance, and smooth operational flow in a fast-paced environment.

The successful candidate will support and guide our centralised Dublin-based customs team, as well as regional operational teams, to maximise performance and compliance. You will monitor volumes, allocate resources effectively, plan ahead for operational challenges, and act as the primary escalation point for customs-related issues.


Key Responsibilities

  • Supervise and support the Data Entry team in their daily activities and resolve queries.

  • Act as the escalation point for departmental issues.

  • Oversee the onboarding and training of new staff members.

  • Allocate declaration assignments promptly and fairly to meet business timelines.

  • Review and streamline processes to improve efficiency and remove duplication.

  • Design, document, and implement new procedures where required.

  • Manage customer authorisations, ensuring the correct clearance procedures are followed.

  • Ensure all company policies, processes, and procedures are strictly adhered to.

  • Identify and implement improved working methods to enhance team and business performance.

  • Develop an in-depth understanding of customer requirements to ensure excellent service delivery.

  • Support the Clearance Manager in delegating daily tasks fairly across the team.

  • Ensure accurate and timely entry of customs data into the management system.

  • Actively participate in team performance reviews, offering constructive feedback.

  • Liaise with operational teams to ensure timely and accurate information is available.

  • Collect necessary customer data to ensure customs compliance.

  • Provide coaching and performance support to team members.

  • Attend meetings and undertake scheduled training.

  • Produce customs and ad hoc reports as required.

  • Provide operational cover for the team when necessary.


Skills and Experience Required

  • Proven experience in customs procedures and requirements (essential).

  • Previous experience in a supervisory role.

  • Strong leadership and interpersonal skills, with the ability to motivate and improve team performance.

  • Highly organised, methodical, and detail-oriented.

  • Capable of working effectively in a fast-paced environment to meet tight deadlines.

  • Strong task prioritisation and delegation skills.

  • Proactive, responsible, and solution-focused.

  • Excellent verbal and written communication skills.

  • Flexible and adaptable to changing business needs.


Additional Requirements

  • Willingness to undertake other duties as assigned by the Customs Clearance Manager, Accounting Manager, or CEO, subject to relevant training/experience.

  • Participation in annual performance reviews and objective setting.

  • Compliance with all company policies, including Health & Safety, Employment, Quality, and Environmental policies.

  • Adherence to strict confidentiality regarding all company information during and after employment.

  • A detailed understanding of, and commitment to, the company’s Business Plan and objectives.
