Plumbing Office Administrator / Project Administrator

Location: Dunshaughlin
Salary: 40,000 – €45,000 DOE
Hours: Monday to Friday, 8:00am 5:00pm
Job Type: Full-Time, Permanent

About the Role

On behalf of our client, we are currently recruiting for an experienced Plumbing Office Administrator / Project Administrator to join a busy mechanical and plumbing contracting business based in Dunshaughlin.

This is an excellent opportunity for a highly organised administrator with experience in the plumbing, electrical, construction, or mechanical services sector. The successful candidate will provide comprehensive administrative and operational support to project teams, ensuring documentation, compliance records, certification, and project coordination are managed efficiently from commencement through to completion.

Key Responsibilities

  • Act as the main point of contact for clients, site teams, suppliers, engineers, and subcontractors.
  • Prepare, issue, and maintain project documentation including compliance records, commissioning certificates, handover documents, O&M manuals, and statutory certification.
  • Monitor certification and compliance requirements across multiple projects.
  • Follow up on outstanding documents and liaise with relevant parties to ensure timely completion.
  • Maintain accurate project records, filing systems, and document control processes.
  • Support project teams with administration, reporting, correspondence, and progress tracking.
  • Coordinate submission of commissioning certificates, test results, warranties, and compliance documents to clients, consultants, local authorities, and regulatory bodies.
  • Track project milestones, outstanding actions, inspections, and certification deadlines.
  • Manage incoming calls, emails, and general enquiries in a professional manner.
  • Assist with procurement administration, supplier communication, purchase orders, and delivery coordination.
  • Prepare reports, spreadsheets, and project trackers for management review.
  • Maintain strong working relationships with clients, site managers, suppliers, and subcontractors.
  • Support company quality procedures, health and safety requirements, and industry compliance.
  • Assist with general office administration, including company vehicle and van administration where required.

Requirements

  • Previous experience in a Project Administrator, Office Administrator, Document Controller, or similar role.
  • Must have experience within a plumbing, electrical, construction, mechanical, or building services environment.
  • Strong understanding of project documentation, compliance records, certification, or handover packs.
  • Excellent organisational and multitasking skills.
  • Strong communication skills with the ability to liaise confidently with clients, site teams, suppliers, and subcontractors.
  • High attention to detail and accuracy when managing project records.
  • Strong Microsoft Office skills, particularly Excel and Word.
  • Ability to work in a busy office environment and manage competing priorities.
  • Experience with O&M manuals, commissioning certificates, or construction project administration would be highly advantageous.
